Job Summary:
We are seeking a highly organized and detail-oriented Office Manager to join our team. The Office Manager will be responsible for overseeing the day-to-day operations of the office, managing administrative tasks, and providing support to the team. The ideal candidate will have excellent communication skills, strong problem-solving abilities, and the ability to multitask in a fast-paced environment.
Duties:
- Front desk management: Greet visitors, answer phone calls, and direct inquiries to the appropriate person or department.
- File management: Maintain organized filing systems for both physical and digital documents.
- Training development: Assist in developing training materials and programs for new employees.
- Phone etiquette: Handle incoming and outgoing calls professionally and efficiently.
- Vendor management: Coordinate with vendors for office supplies, equipment maintenance, and other services as needed.
- Payroll administration: Process payroll accurately and on time. Tasks regarding payroll is receiving hours from employees and working with Paychex to process paychecks
- Phone system management: Oversee the operation and maintenance of the office phone system.
- Schedule management: Coordinate meetings, appointments, and travel arrangements for staff members.
- Clerical tasks: Perform general clerical duties such as data entry, photocopying, and scanning.
-Well versed in construction manager software such as Master Library/ Submittal Exchange.
-Accts receivable Experience with Payment Applications utilizing AIA Document G732. This process also includes certified payroll, Lein Waivers.
-Accts Payable which entails receiving invoices and inputting into Quickbooks software.
-Coordination with bonding company for Bid Bond etc.
Requirements:
- Proven experience as an Office Manager or similar role.
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to handle confidential information with discretion.
- Exceptional communication skills, both written and verbal.
- Ability to work independently with minimal supervision.
-Public Notary (or willing to take test once employed)
-Familiar with Quickbooks
